ZYBUX Stock App - Privacy Policy

This policy explains how the ZYBUX Stock app ("the app") handles personal data. Techno Tronics Limited, trading as ZYBUX ("we", "us"), of The Grain Store, Innisfree Farm, Great Missenden, HP16 0RE, is the controller of the account details described below. Contact: info@zybux.co.uk.

What we collect

Account details: your name, email address, a scrambled (hashed) password, your role and the permissions your Admin has given you, and, if you set one, a PIN (also stored scrambled).
Your Linnworks connection: an access token that lets the app work with your Linnworks account. We do not store your Linnworks password.
Business data from Linnworks: stock items, orders and related details (for example customer names and addresses on orders you print or pick). This is read from Linnworks when you use the app and kept only briefly, to make the app fast.
Activity records: who changed what (stock changes, SKU and supplier edits, prints and reprints, pick and pack steps), with the time, so your business has an audit trail.
Photos and files you add to items.
Device details for notifications: a push-notification token for your phone, if you switch notifications on.
Print helper details: the name of each print PC and its printer, and the print jobs waiting for it.

Why we use it

To run the app for you: to sign you in, to connect to your Linnworks account, to show and update your stock and orders, to print and pick, to send the reminders and alerts you ask for, to keep the audit trail, and to keep the service secure. Our lawful bases are performing our contract with you or your business, and our legitimate interest in running and securing the service.

Who we share it with

We do not sell your data or share it with other businesses using the app. Each business's data is kept separate. We use service providers to run the app: Cloudflare (hosting and storage), Expo (app updates and push notifications), and Linnworks (the account you connect). Printing sends label and invoice files to the print PC you choose. We may disclose information if the law requires it.

How long we keep it

Account details are kept while your account is open. Cached Linnworks data is kept for minutes to hours. Activity records are kept for as long as your business needs the audit trail, then removed. When an account is deleted we delete its details, apart from anything we must keep by law.

Your rights

Under UK data protection law you can ask to see, correct or delete your personal data, ask us to restrict or stop using it, and ask for a copy. You can delete your account from My Profile. To use your other rights, or to complain, email info@zybux.co.uk or write to us at the address above. You can also complain to the Information Commissioner's Office (ico.org.uk).

Security

Passwords and PINs are stored scrambled, connections are encrypted, and access is limited by role. No online service is completely secure, so please keep your password private and tell us straight away about anything suspicious.
